COMPLAINTS
ICAPHE’s Complaints Policy outlines the procedure for raising concerns about any aspect of the organisation’s operations, ensuring complaints are handled fairly, promptly and confidentially. The policy applies to all stakeholders, including learners, staff and external partners involved in the accreditation process. Anonymous complaints will not be considered. Complaints can be submitted verbally or in writing and will be acknowledged. An investigation will follow, with a resolution provided. If unresolved, complaints may be escalated to the Board of Trustees. ICAPHE encourages informal resolution where possible and emphasises a non-retaliatory environment for complainants. All complaints are recorded, monitored and reviewed to inform ongoing improvements. APPEALS
The ICAPHE Appeals Policy outlines the process by which institutions may challenge accreditation decisions issued by the Accreditation Review Board. Appeals may be lodged in cases of conditional accreditation, refusal or revocation, provided they are based on procedural non-compliance. Appeals must be submitted in writing within 30 days of notification. An independent External Review Committee for Accreditation Disputes (ERCAD), comprising experienced evaluators, oversees the appeal process. ERCAD reviews submitted materials, may hold hearings and delivers a final, binding decision. The process is designed to be transparent, fair and free from conflicts of interest, with strict confidentiality observed throughout. Appeals are evaluated solely on existing documentation from the original accreditation process as new evidence is not considered. The policy ensures integrity and fairness in ICAPHE’s accreditation framework and is reviewed periodically to maintain best practice standards.

CONFIDENTIALITY, CONFLICTS OF INTEREST & ETHICAL CONDUCT
This policy outlines the standards of confidentiality, impartiality and ethical conduct expected of all individuals involved with the International Council for Accreditation and Advancement of Public Health Education (ICAPHE). It applies to Accreditation Review Panel members, reviewers, evaluators, and Board members. The policy ensures that all accreditation activities are conducted with integrity and professionalism. Individuals are required to uphold strict confidentiality, avoid any conflicts of interest and maintain impartiality during all processes. They must not share or misuse any information obtained through their role. In cases of potential conflicts, full disclosure is expected to preserve transparency and trust. All parties must act in good faith, prioritising the credibility of ICAPHE’s work and safeguarding the organisation’s reputation. Breaches may result in removal from duties. This policy encourages fairness and reinforces public confidence in the accreditation system.

TRAVEL AND HOST LOGISTICS
This policy sets out clear guidelines to ensure smooth, professional accreditation site visits. Host institutions are responsible for arranging travel, visas, comfortable accommodation, meals, local transport and interpretation if required. Travel class depends on total journey time and meals should consider dietary needs, with healthy snacks preferred. Hosts must organise logistics in advance, keep reviewers informed and assign a local contact for support. Reviewers are responsible for valid passports, timely submission of documents, arranging travel insurance and complying with health and safety protocols, including necessary vaccinations.

LOGO USAGE
This policy governs the appropriate use of the ICAPHE accreditation logo to maintain its integrity. Only institutions formally granted accreditation may use the logo, and only during the valid accreditation period. Permitted uses include official websites, printed materials, digital communications, and event signage related to accredited programmes. The logo must remain unaltered and not imply endorsement beyond its scope. It is prohibited in connection with non-accredited programmes, commercial use, or misleading contexts. ICAPHE may monitor usage and enforce compliance.
